We are currently seeking an Administrative & Order Entry Assistant to join our growing team. The Administrative & Order Entry Assistant is responsible for fulfilling clerical work and office assistant duties for various departments including purchasing, production, shipping, stockroom, and human resources.
This is a critical role that aids communication between departments & multiple facilities, monitors schedules, maintains documentation, and maintains a presence at reception. General tasks include printing, scanning, and distributing paperwork, entering & recalling information in our ERP system, creating shipping documentation, composing emails, phone calls, and maintaining various documentation for order status.
Responsibilities:
- Administrative/ Office Support:
- Greet and assist visitors at the reception entrance
- Retrieve post mail
- Monitor office supply levels
- Order Entry:
- Monitor production & order schedules
- Review out-of-stock parts in demand
- Coordinate with other facilities regarding shipments for incoming parts
- Update Customer Service on expected order ship date based on parts availability and machine shop scheduling
- Communicate with Production Engineering to facilitate amendments to work orders
- Stockroom Administration Duties:
- Print, review, and distribute job travelers and collect redundant from the shop floor
- Inventory Transfer logistics & communication: Keeping track of which parts are in transit
- Receiving packing slips in ERP system (Epicor)
- Purchasing:
- Scanning packing slips
- Receiving packing slips into ERP system (Epicor)
- Filing routine service receipts (AirGas, Safety Kleen, etc.)
- Collect & process monthly departmental consumable supplies requests
- Shipping Duties:
- Create packing slips
- Creating bill of lading
- Scanning shipping documents
- Filing BOLs
- Other
- Perform other related duties as assigned.
Requirements:
- High-school diploma
- College diploma or 5+ years’ experience in business administration
- Industrial manufacturing experience is asset
- Ability to communicate effectively and professionally (written and verbal) with internal and external teams
- Applicant should demonstrate resourcefulness and initiative in implementing new processes
- Excellent attention to detail and well-developed problem-solving skills
- Collaborative team player, able to meet deadlines and adapt to changing business needs with the ability to work independently
- Knowledge & Proficiency in the use of Microsoft/PC based tools including MS Office (Outlook, Word, Excel)
